1. Scope
These General Terms and Conditions apply to all lettings of rooms, apartments and flats for accommodation purposes and to all related services. The house rules displayed on the premises form an integral part of these General Terms and Conditions. These General Terms and Conditions apply exclusively. Any terms and conditions of the guest or contracting party that conflict with or deviate from these will not be recognised, unless this has been expressly agreed in writing in advance.

2. Booking Confirmation
Upon booking an apartment with RIMC Hotel Management GmbH (hereinafter referred to as the ‘apartment’), the guest will receive a written booking confirmation by email or post. A guaranteed booking is only possible if credit card details are provided. The booking confirmation contains details of the travel dates, the arrival and departure periods, binding price details for the stay and any additional services. It forms the basis of the accommodation contract between the guest and RIMC Hotel Management GmbH. Subsequent changes are only possible in writing between the contracting parties. Upon making a binding booking or confirming a reservation offer, the General Terms and Conditions are deemed to be binding and fully accepted.

3. Key collection and return
Guests will be provided with an electronic key card for the duration of their stay. This card grants access to the car park, the building, the guest area on the ground floor, their apartment and their letterbox on the ground floor. Keys can be collected on the day of arrival between 3.00 pm and 8.00 pm at the Service Point. Individual arrangements will be made for later arrivals. Times may vary during special periods such as the winter season and public holidays. Please enquire

about these at our Service Point. Guests must vacate the apartments by 11.00 am on the day of departure. Key cards may be returned between 6.30 am and 11.00 am at the Service Point or by posting them in the RIMC Hotel Management GmbH postbox.

4. Registration certificate
In accordance with the Federal Registration Act, RIMC Hotel Management GmbH is obliged to register all guests by completing a registration form. The information must be provided truthfully and in full by the guest and confirmed by their signature.

5. Terms of Payment
When staying in an apartment managed by RIMC Hotel Management GmbH, the invoice amount must be settled at the Service Point upon arrival. Payment can be made in cash, by debit card or by credit card. Payment by invoice within 8 days is possible provided a guarantee of payment is provided prior to arrival. RIMC Hotel Management GmbH is entitled to make the binding reservation of rooms/apartments/flats conditional upon the payment of a deposit. The deposits required by Quartier 96 must be paid by the date specified by Quartier 96.

6. Duration of Stay
The duration of stay in the apartments is based on the period agreed in the booking confirmation. An extension is only possible in consultation with the property management; this is not permitted without prior consultation. Shortening the stay does not entitle the guest to reduce the contractually agreed total costs unilaterally. For bookings of up to 180 days, a VAT rate of 7% will be charged. For bookings exceeding 180 days, a VAT rate of 19% will be charged on the total booking period. The statutory VAT rate applies; should the legislation change, this rate will automatically be adjusted.

7. Cancellation Policy
Short-Stay (1 to 4 days):

Up to 7 days before arrival: free of charge

6 to 0 days before arrival: 90% of the accommodation price

Bookings that have commenced are non-cancellable and will be charged in full.

Medium-Stay (5 to 29 days):

Up to 14 days before arrival: free of charge

13 to 0 days before arrival: 90% of the accommodation price

Bookings that have commenced are excluded from cancellation and will be charged at 100%

Long-Stay (30 to 180 days):

Long-term bookings are excluded from cancellation

Confirmed project bookings are excluded from cancellation

Bookings that have commenced are non-refundable and will be charged at 100%

8. Damage and Loss
If the guest discovers any damage, defects or missing items in the apartment, they are obliged to report these immediately, even if they are not the cause. The inventory and decorative items are listed in an inventory list in the apartment and are checked after each departure.

Should you leave the apartment in an excessively dirty condition upon your departure, we reserve the right to charge you a cleaning fee of €150.00. Should our housekeeping team be unable to rectify these issues and we are required to engage a specialist firm, we also reserve the right to pass on the invoice from the specialist firm.

Should it be found that items of equipment are missing after your departure, these will be invoiced retrospectively and must be paid for.

RIMC Hotel Management GmbH shall not be liable for damage to the guest’s property caused by the guest’s own negligence. The guest will be charged €15.00 for the loss of a key card. It is irrelevant whether a replacement card is issued or not.

9. Alteration of fixtures and fittings
Guests are prohibited from making alterations to any fixtures and fittings in the apartments. The removal of fixtures and fittings for use outside the apartments is not permitted.

10. Included services
On the day of arrival, each apartment will be provided free of charge with bed linen, 1 shower towel, 1 hand towel, 1 bath mat and a welcome pack containing toiletries per person.

Hand towels and tea towels are changed every 3 days, and we clean the apartment after 7 days. We reserve the right to shorten this schedule due to operational circumstances.

Additional services can be booked at an extra charge.

11. Check-out
The accommodation price includes a final clean after departure. Additional cleaning and linen changes during your stay are available at an extra charge. The final cleaning includes the removal of soiling caused by normal and average use of the furnishings. Should above-average soiling caused by the guest be found on departure, the guest will be charged for this.

12. House Rules
The house rules are displayed in all apartments and form part of the tenancy agreement without the need for a separate agreement. The keeping of animals of any kind is prohibited throughout the building and in the outdoor areas. Exceptions may be made in individual cases. Quartier96 is a non-smoking building. Smoking is only permitted in the smoking room on the ground floor or in the designated smoking area outside. Should smoking take place inside the building, the smoke alarm system will be triggered automatically. In the event of non-compliance, we are entitled to charge €750.00 for cleaning costs incurred, as well as costs for the activation of the smoke alarm system.

13. Jurisdiction
The Local Court of Aurich / Emden shall have jurisdiction over any disputes arising from the contract for the letting of an apartment. German law shall apply exclusively.

14. Miscellaneous provisions
RIMC Hotel Management GmbH shall store, protect and delete the data provided by the guest in the contract, whether on paper or in machine-readable form, in accordance with statutory provisions.

15. Severability clause
Should any individual provisions of the contract, including the terms and conditions, be invalid, this shall not affect the validity of the remaining provisions. The parties shall immediately replace the invalid provisions with valid ones that come as close as possible to the intended purpose and their economic significance.
